n-Tier Technology, Inc. ("n-Tier," "we," "us," or "our") operates the MyPollWorker Portal (the "Service"), a poll worker management platform used by county Boards of Elections. This Privacy Policy describes how we collect, use, and protect your information when you use the Service.

When you use the MyPollWorker Portal, we may collect the following information:
- Personal Information: Name, email address, phone number, mailing address, date of birth, and party affiliation as provided during the poll worker application process.
- Account Information: Login credentials, authentication tokens, and session data.
- Employment Information: Poll worker role, training history, assignment records, availability preferences, and work history related to election service.
- Device Information: Browser type, IP address, and device identifiers collected automatically during use of the Service.
- Communication Records: SMS and email message delivery records related to Service communications.
2. How We Use Your Information
We use the information we collect for the following purposes:
- Poll Worker Management: Processing applications, managing assignments, tracking training completion, and facilitating election day operations on behalf of your county Board of Elections.
- Communications: Sending transactional messages including login codes, assignment notifications, training reminders, schedule updates, and election-day coordination messages via email and SMS.
- Service Operation: Authenticating users, maintaining account security, and providing technical support.
- Reporting: Generating staffing reports, training compliance records, and operational summaries for county Boards of Elections.
3. SMS Communications
By providing your phone number and submitting your poll worker application through the Service, you consent to receive transactional SMS messages related to your poll worker service. These messages may include:
- Authentication and login verification codes
- Assignment notifications and confirmations
- Training class reminders and schedule updates
- Election-day coordination messages
Message frequency varies based on election activity and your assignments. Standard message and data rates may apply. You may opt out of SMS messages at any time by replying STOP to any message. Reply HELP for assistance.
We do not send marketing, advertising, or political advocacy messages via SMS. All SMS communications are transactional and operational in nature.
4. Data Sharing
Your information is shared only with the county Board of Elections that you serve as a poll worker. We do not sell, rent, or share your personal information with third parties for marketing purposes.
We may share information in the following limited circumstances:
- County Boards of Elections: Your county BOE has access to your poll worker records, assignments, training status, and contact information as part of their management of election operations.
- Service Providers: We use third-party services for email delivery (SendGrid) and SMS messaging (Twilio). These providers process messages on our behalf and are bound by their own privacy policies and data processing agreements.
- Legal Requirements: We may disclose information when required by law, court order, or government regulation.
5. Data Security
We implement industry-standard security measures to protect your information, including:
- Encryption of data in transit (TLS/SSL) and at rest
- Secure authentication with passwordless login options
- Role-based access controls limiting data visibility
- Regular security assessments and monitoring
- Hosting on Microsoft Azure with enterprise-grade infrastructure security
6. Data Retention
We retain your poll worker records for as long as your account is active and as required by your county Board of Elections for election administration purposes. County BOEs may have specific record retention requirements under New York State election law.
